Parking Information

Each exhibitor is allocated one parking per 50 square meters of space subject to a maximum of two passes per exhibitor, free of charge, for entry to the exhibitor’s parking area.   The car parking permit should be prominently displayed on the cars.  For security reasons, car permits are non-transferable. Additional car passes can be book through your Online Exhibitor Manual account.   Passes would be provided subject to availability of space.  Car parking permits will be valid from February 11 to February 23, 2017.

Badge Information

Each exhibitor is entitled to 3 badges per 12 square meters and maximum of 50 exhibitor badges. (Additional badges can be purchased through your Online Exhibitor’s Manual account for 2500.00 INR / 70.00 USD.)

All badges can be picked up at the Registration Centre at Gate No. 2 on the show site beginning Saturday, January, 28 2017.

The step-by-step process is easy to follow.  To get ready to apply you will need to have information about your previous trips to India, your airport of entry and exit for your upcoming trip, your planned accommodations, the contact details of the organizer of the event you are attending, a .jpeg headshot photo and a PDF copy of the information pages of your passport.    

The validity of visa will be 30 days from the date of arrival in India. This is a single entry visa and can only be issued twice in a year. 


Visa Requirements

To obtain your visa, you are required to have a personalized invitation letter generated by the organizers.  To request the visa letter, please click the “Online Manual” and enter your username and password to access your account.   Under “Exhibitor Manual Forms” select “Visa Letter” and input your passport details to obtain your visa invitation letter.   This letter will be sent to you directly from the organizers.

The visa process for India is very detailed.  Be sure to visit the U.S. Department of State's U.S. Passports & International Travel to view all visa requirements.

All U.S. citizens need a valid passport and valid Indian visa to enter and exit India for any purpose.  Most visitors, including those on official U.S. government business, must apply for visas at an Indian embassy or consulate abroad before entering the country.  U.S. citizens seeking to enter India solely for tourist purposes, and who plan to stay no longer than 30 days, may apply for an electronic travel authorization at least four days prior to their arrival in lieu of applying for a tourist visa at an Indian embassy or consulate.  Please visit the Indian government's website for electronic travel authorization for additional information regarding the eligibilities and requirements for this type of visa.  Without the electronic travel authorization, which must be obtained at least four days prior to arrival, visas are not available upon arrival for U.S. citizens. If you do not have a valid passport and visa you may be immediately deported.

INTERNATIONAL AIRPORT INFORMATION

Are there special requirements to enter an India International Airport?

Only passengers with confirmed tickets for travel are allowed entry into India’s International Airports.   This may come as a surprise for many foreigners where airport security doesn’t appear until after you’ve entered the airport.  Being prepared ahead of arrival will ensure a swift entry into the airport.

Doors to the international airports are secured by armed guards. Travelers must show their passport and ticket to gain access. Without the proper proof of flight reservation, you will be turned away. This means no family, no friends, no driver or help of any kind is allowed to escort passengers into the airport.

What type of ticket is acceptable?

Two types of tickets are acceptable. One is the actual hard copy ticket provided by an airline office or travel agency. The second is for visitors flying with an E-ticket.  In this case, a printed copy of the full flight itinerary will suffice.

What do I do if I don’t have a ticket?

If you are traveling on an E-ticket, your ticket was stolen or lost, or you don’t have a printed flight itinerary, do not let a guard tell you to go to the airline office.  Ask to verify your reservation using the printed passenger list kept outside the airport with one of the guards. All passengers flying on a particular day, by flight, can be found on this list. Find your name, show your passport, enter airport.


TRANSPORTATION & VENUE ACCESS

How many badges will I receive and how to do I obtain them?

For every four square meters of space, you will receive one exhibitor badge.  For example, if you have a total of eighteen square meters, you will receive four exhibitor badges.  The cost for exhibitor badges beyond your quota is 2500 INR each (approximately US$70.00).  

Once logged into the Aero India Exhibitor Zone, select Exhibitor Manual Forms and click Exhibitors Representative Photo Passes to register your team.  You will need each person’s passport details and a photo (only .jpg, .jpeg, .png, or .gif image up to 500KB) to upload to the website.  

Be sure to enter accurate information to avoid long wait times to reprint badges onsite.  At past Aero India events, the waiting period to collect badges has exceeded 4 hours.  One company representative can pick up badges for the entire onsite team.

How to I obtain VIP exhibitor badges?

Each participating exhibitor is entitled to 2 VIP passes.  Once logged into the Aero India Exhibitor Zone, select Exhibitor Manual Forms and click Exhibitors Representative Photo Passes to register your VIPs.  You will need each person’s passport details and a photo (only .jpg, .jpeg, .png, or .gif image up to 500KB) to upload to the website.

Is there a dress code for show days?

All exhibitors are expected to dress formally in a suit/national dress/service uniform or any other appropriate wear.  The organizers reserve the right to determine whether the attire of an exhibitor is acceptable and in keeping with the best interests of the exhibition.

When and where can I pick up my Official Catalogue?

Official Catalogues will be dropped off at each exhibitor’s stand on the first day of the show.

Where can I find the Organizer’s Office?

Registration Centre at Gate No. 1 on the show site.

How can I book a conference room with the U.S. Pavilion?

You may visit the U.S. Pavilion Meeting Point, Stand E3.19 to book a conference room. Reservations are first come, first serve and are limited to 1 ½ hour per exhibiting company per day. Please schedule confirmed meetings only.

Is dining available onsite?

There are 3 restaurants serving different types of fast food and Indian food at the exhibition site.

What services are offered in the U.S. International Pavilion?

The Meeting Point, Stand E3.19, will be open during show hours and is reserved exclusively for exhibitors and their guests. It is not open to the public and all exhibitors are required to wear a U.S. Pavilion lanyard or U.S. Pavilion access sticker to enter the Meeting Point.
Here, we will offer:
•    Complimentary refreshments
•    Coffee, hot tea, and a selection of cold beverages
•    Phone charging station
•    Welcome desk
•    Free WiFi

A conference room, Stand E3.22, will be available and can accommodate up to 6 people comfortably. Reservations are first come, first served and are limited to 1 ½ hour per exhibiting company per day. Conference room scheduling will take place during the event in the U.S. Pavilion Meeting Point.

Is WiFi available?

Kallman Worldwide will be providing basic WiFi for our exhibitors within our U.S. Meeting Point, Stand E3.19.  This internet will support minimal activity such as checking emails and sending messages and will be shared with all U.S. Pavilion Exhibitors, which can sometimes slow down its capabilities. Exhibitors may purchase wired internet services through the Aero India Exhibitor Zone select Exhibitor Manual Forms and click Internet / WiFi On Hire.

Which security measures are in place?

Overall surveillance of the exhibition site is provided by the organizer.  Equipment displayed on the booth is the responsibility of the exhibitor, day and night. You should take all appropriate measures to be protected against damage and theft.

What do I do in an emergency?

India has implemented an all-in-one emergency number - 112.  You may dial the following numbers for specific emergencies:
•    Ambulance – 102
•    Fire – 101
•    Police - 100

After March 2017 India will discontinue the specific emergency numbers and use number 112 for all emergencies.
